Privacy Policy

What NI Padel does with your personal information, why, and what you can ask us to do about it.

01What this covers

This policy covers this website, the accounts and entries it handles, and the emails we send. The company at the foot of this page is the data controller, which means it decides what is held and why, and is answerable for it.

02What we collect

When you create an account: your name, email address and mobile number, a password we only ever store scrambled, and your home club if you give one.

When you enter an event: who your partner is, which division you entered, your entry status, and the record of the payment. Your card number never reaches us.

On a player profile: anything you choose to add, such as a photograph, a Playtomic link, an Instagram handle or a sponsor. All of it is optional and all of it is yours to remove.

As you play: your results, the points they earned and your ranking position, which together are the competition record.

If you tell us something we need for an emergency on the day, we hold it for that event and no longer.

Technically: our server keeps ordinary web logs, including IP addresses, for security and for working out what broke.

03Why we hold it, and on what basis

To run your account and your entries, and to take payment, because that is the contract between us. Without this there is no entry.

To send you the emails an entry needs: confirmation, the draw, a reminder the day before, your result. These are part of running the event, not marketing, and you get them whether or not you have opted into anything else.

To publish results and rankings, and to keep the record of past events, because a ranked competition cannot exist without a published record and everybody entering one expects it. That is our legitimate interest, and the interest is the integrity of the competition itself.

To keep the site secure and working, which is our legitimate interest in not being broken into.

To send you news and offers, only if you asked for them. That one is consent, and you can withdraw it whenever you like.

04What is public

Deliberately public: your name, your club if you gave one, your pairing, your seeding, your results, your ranking position and your player profile with whatever you put on it.

Never public: your email address, your phone number, your password, anything about a payment, and anything you told us for an emergency.

If you would rather your profile did not carry a photograph, a club or a social link, take them off it. The results themselves stay, because other players' rankings are worked out against them.

05Photographs and video

Photographs and video are taken at events and used to report on them and to promote the series. How that works, and how to ask to be left out or taken down, is in the tournament regulations.

Our basis for it is legitimate interests: an event series that cannot show anybody playing cannot attract anybody to play in it. You can object, and if you do we will stop using images of you rather than argue about it.

06Who else sees it

We do not sell personal information and we do not pass it to anybody for their own marketing.

It reaches these companies because they do a job for us: Stripe, which takes the payments; Resend, which delivers our email; Kit, which holds the mailing list; and the company hosting the server this site runs on. Each of them handles it on our instructions.

A host club is told who is playing at its venue, which is the entry list and nothing more.

We would also hand something over if we were legally required to, and we would tell you unless we were not allowed to.

07Payments

Payments are processed by Stripe. Your card details are entered on Stripe's own payment form and go straight to them: we never see or store a card number. What we hold is that a payment was made, how much, when, and Stripe's reference for it, which is what lets us issue a refund.

Stripe is a data controller in its own right for what it holds, and has its own privacy policy.

08Email and marketing

There are two different kinds of email here and they are not the same thing.

Emails about your account and your entries are sent because you have an account or an entry. They are how the event works, so there is no unsubscribe on them; close your account and they stop.

News, offers and anything from NinePádel are only sent if you ticked the box. Every one of those carries an unsubscribe link, it works immediately, and unsubscribing from them does not affect anything about your entries.

09Cookies

This site sets cookies only to do things you asked for: keeping you signed in, remembering an entry part way through, and carrying a one-off message across a page reload. There is no advertising cookie and no third-party tracker following you around.

Because none of them are used for advertising or analytics, there is no consent banner to get in your way.

10How long we keep it

Your account and profile: for as long as you have an account, and until you ask us to close it.

Results and rankings: permanently. They are the history of the competition and removing one player's results would misstate everybody else's.

Payment records: six years, because tax law requires it.

Emergency information you gave for an event: deleted after that event.

Mailing list: until you unsubscribe. Server logs: a few weeks.

11Where it is held

The site runs on a server in the United Kingdom. Some of the companies that work for us are based outside the UK, and where information reaches them it is protected by the safeguards data protection law requires for that.

12Children

Our events are open to adults and to players under 18 where the event says so. A player under 18 needs a parent or guardian to set up their account and to agree to it, and we will not publish an identifiable photograph of them without that consent in writing.

If you believe we are holding information about a child without that agreement, tell us and we will deal with it straight away.

13Your rights

You can ask us for a copy of what we hold about you, ask us to correct it, ask us to delete it, ask us to stop doing something with it, or object to us relying on legitimate interests. You can also ask for your information in a portable form.

Write to info@nipadel.com and we will answer within one month. There is nothing to pay. We may ask you to confirm who you are first, so that nobody else can ask for your information.

The one thing we will not do is remove a result. Everything else on the list we will.

14Complaining

Tell us first and give us the chance to fix it. If you are still not satisfied you can complain to the Information Commissioner's Office, the UK regulator for data protection, at ico.org.uk. Complaining to them does not stop you coming back to us.

15Changes to this policy

We update this policy when what we do changes. The version here is the current one, with the date it took effect at the top. Our terms of use are a separate document.
